Office Coordinator (Lake Forest, Libertyville, Barrington, IL)

We are a well-established, NCQA-recognized pediatric practice with locations in Lake Forest, Libertyville and Barrington. We are seeking a qualified, office coordinator who will be responsible for the efficient operation of the front desk, encompassing staff management and overseeing day-to-day operations, in support of the clinical staff and business operations.

 Essential Job Responsibilities:

  • Hiring, training and supporting staff including the creation of staff schedules
  • Ensuring that staff have proper resources, supplies and equipment
  • Working with nurses to ensure efficient patient flow
  • Creating a pleasant and empowering work environment for staff
  • Coordinating with the billing office to ensure efficient and accurate business operations
  • Ensuring exceptional customer service for all visitors to the practice
  • Working with providers and management to ensure accurate and efficient scheduling of patients
  • Coordinating with computer vendors to ensure proper functioning of computer systems and hardware
  • Communicating with the Practice Manager on the status of front desk operations
  • Completing Patient Representatives duties as scheduled
  • Monitor office expenses
  • Other duties as assigned

 

Knowledge and Skills:

  • High School diploma required; Associates degree or Bachelor’s degree preferred
  • Knowledge of medical office operations, including revenue cycle
  • Ability to train, monitor and evaluate staff and build a strong team of patient representatives
  • An understanding of the electronic medical record including scheduling, data entry and billing functions
  • An ability to problem solve effectively including data collection, consensus building, communication and implementation of the solution

Nurse Coordinator (Schaumburg, IL)

We are a well-established, fast-paced, PCMH certified pediatric practice located in Schaumburg, IL. We are seeking a qualified registered nurse to fulfill the Nurse Coordinator position. This individual would be responsible for the overall leadership of nursing services, be accountable for planning, organizing, and coordinating staff to provide the highest level of patient care.

Responsibilities:

  • Work with Office Coordinator to provide a positive, efficient atmosphere for patients and staff
  • Support and maintain the policies and procedures of the practice
  • Support clinical needs of physicians
  • Support clinical needs of the nursing staff
  • Attend leadership conferences
  • Oversee and support operational workflow of clinical services
  • Order and maintain medical and vaccine supplies
  • Oversee quality control of labs, institute and oversee CLIA regulations
  • Approve PTO, vacation requests, sick calls
  • Support accounts payable process
  • Oversee clinical staff schedules
  • Assist in recruiting; oversee training, orientation, and yearly staff reviews
  • Support the Practice Manager in overseeing day-to-day operations
  • Other duties as assigned

 

Requirements:

  • Current Nursing License, RN, BSN preferred
  • 3 years management experience
  • Ambulatory experience
  • CPR certified
  • Ability to multitask, organize and plan
  • Experience with EMR and general computer software. Epic experience a plus.

Clinical Care Coordinator (Northbrook, IL)

We are in search of a part-time clinical care coordinator to join our growing team. Do you enjoy collaborating with patients and developing new programs? If so, this may be the job for you!

We are a Level 3 Patient Centered Medical Home (PCMH) certified by the National Committee for Quality Assurance (NCQA).

Responsibilities:

  • Responsible for patient care coordination
  • Manage ongoing clinical compliance for PCMH
  • Manage referrals for high acuity cases with elevated complexity
  • Assist with patient engagement internal marketing strategy
  • Educator for office staff and clinicians
  • Facilitate relationships with area hospitals
  • Communicate with patients on aspects of care including cost of care, community resources, services and other relevant topics
  • Monitor adherence to care plans
  • Monitor monthly report of discharge notices to confirm proper follow up
  • Manage psych notices for HMO patients
  • Assist with identification of high risk patients

 

Requirements:

  • 2-3 years of care coordination experience
  • MPH / MHA preferred
  • RN required
  • EMR experience required (Epic strongly preferred)
  • Proven ability to embrace new technology
  • Highly organized self-starter
